Share a workspace with a client

Give a client a read-only view of a workspace's pin calendar and results, with or without approvals.

The client portal is for agencies and freelancers: your client sees what you are doing for them without joining the workspace. A client takes no seat and cannot change anything, except approving or rejecting pins when you allow it.

Only owners and admins can share a workspace.

Share the workspace

  1. Open Settings, then Client portal.
  2. Under Share with a client, enter the Client's email address. Name (optional) is only for you, for example the brand.
  3. Choose how long the access lasts under Access for: 30, 90 or 180 days.
  4. Tick Let them approve or reject pins waiting for review if the client signs off on pins. Leave it off for a read-only view.
  5. Press Share.

The client gets an email with a button to the portal. The same address is on your screen under Where your clients open it; press Copy address to send it yourself. It is the same address for every client and holds no secret.

What the client does

The client opens the portal and signs in, or creates an account, with the exact email address you entered. Under Shared with you they pick the workspace and see:

  • Calendar: pins that are scheduled, and pins published in the last 30 days.
  • Results: views, clicks to the blog, saves and the best pins for 7, 28 or 90 days.
  • To review: only with approvals on. They approve or reject one pin at a time.

If they see "Nothing is shared with you yet", they signed in with a different address than the one you shared with.

Change, end or renew access

Each client in the list shows what they can do, when the access ends and when they last opened the portal.

  • Allow approvals or Make read-only switches approvals on or off.
  • Revoke ends the access at once. Undo on the message brings it back.
  • Share again renews an ended or revoked access for another 180 days with the same rights.

Good to know

  • A workspace can be shared with up to 25 clients at a time.
  • The email goes out at most once a day per client. If you revoke and share again on the same day, send the portal address yourself.
  • A client only ever sees the workspaces shared with their address, never your other workspaces, your team, your settings or billing.
